The facility is only rented for the event day. All prizes MUST be claimed before the building closes and we vacate the premises. We cannot store prizes or arrange pickup after the event ends.

What this means for you:

  • No venue visit required - stay home and relax!
  • No 30-minute deadline - the time pressure doesn't apply to you
  • No QR code needed - just provide your mailing address online
  • We'll mail your prize to you - convenient and hassle-free

💡 Why? This helps reduce crowding at the venue so winners of physical prizes (trees, raffle items, special items) can pick up their prizes more easily. Everyone wins!

Simply click "Claim Your Prize" on the homepage, enter your confirmation code and mailing address, and we'll handle the rest. Most rules below apply ONLY to physical prize pickup at the venue.

CRITICAL: Physical Prize Pickup Requirements (Trees, Raffle Items, Special Prizes)

Physical prizes MUST be picked up on the drawing date within 30 minutes of established contact. Failure to claim prizes within this window may result in forfeiture and prize redistribution.

Note: This 30-minute requirement does NOT apply to voucher/certificate prizes which are mailed.

1Entry Requirements & Eligibility

All raffle entries must meet the following requirements to be eligible.

👤 Age Requirements:

  • Winners must be 18 years or older
  • If winner is under 18, a parent or legal guardian MUST be present for prize pickup
  • Valid government-issued photo ID required for age verification
  • Parent/guardian must present their ID if claiming for a minor

✍️ Handwriting Requirements:

  • Full First and Last Name must be written in crisp, clear handwriting
  • Phone Number must be written in crisp, clear handwriting
  • Illegible entries may be disqualified from eligibility
  • Print clearly - we must be able to contact you if you win!

📱 Text Message Requirements:

  • Your phone MUST be able to receive text messages
  • Winner notifications are sent via an automated text messaging system
  • Ability to receive texts is a requirement of eligibility
  • Landlines and phones that cannot receive SMS are not eligible
  • Ensure your phone has service and SMS is not blocked
  • Turn off Do Not Disturb mode during the drawing event

Why this matters: If we cannot read your entry information or if your phone cannot receive text messages, we cannot contact you if you win. Ensure all information is legible and provide a mobile number capable of receiving SMS.

2Physical Prize Pickup Timeline & Contact Process

✓ Reminder: Voucher/Certificate winners can skip this section - you don't need to come to the venue!

Winners of PHYSICAL PRIZES (trees, raffle items, special items) must pick up their prizes on the drawing date within 30 minutes of established contact.

📞 Contact Process:

  • You will be notified via automated text message when you win
  • We will attempt to contact you up to 3 times if you don't respond
  • You must respond within 15 minutes of the first notification
  • After response, you have 30 minutes to arrive and claim your prize
  • "Established contact" means you have replied to our text message or answered our call

⏱️ Timeline Example:

5:00 PM - You receive winner notification text

5:15 PM - Deadline to respond (15-minute response window)

5:20 PM - You reply "Yes" (contact established)

5:50 PM - Pickup deadline (30 minutes from when you responded)

6:20 PM - You arrive at the check-in desk

6:25 PM - You are checked in to receive your prize

6:55 PM - The building closes and we must vacate the premises

7:00 PM - You are unable to pick up your prize

7:00 PM - The prize is forfeited and redistributed

7:00 PM - The prize is redistributed to the next winner

Important: Keep your phone accessible, charged, and with good reception during the event!

3Technical Issues & Troubleshooting

What to do if you experience technical issues with notifications:

⚠️ Before the Event - Check Your Phone:

  • Turn OFF "Do Not Disturb" mode during drawing hours
  • Check that SMS/text messages are not blocked
  • Ensure you have cellular service or WiFi calling enabled
  • Verify your phone number is correct on your entry
  • Add unknown numbers to your contacts to prevent spam filtering

🔧 Common Issues:

  • Didn't receive text? Check spam/blocked messages. If automated system fails, we will attempt to call you as a backup.
  • Carrier delays? Some carriers may delay message delivery. We account for reasonable delays but cannot guarantee instant delivery.
  • Wrong number on entry? Contact event staff immediately at the Check-In Desk if you believe there's an error with your phone number.

Note: We are not responsible for issues caused by phone settings, carrier problems, or incorrect contact information provided on entry forms.

4Proxy Pickup Authorization

Winners may designate someone else to pick up their prize on their behalf.

✅ How to Arrange Proxy Pickup:

  • Contact the event coordinator (Brenda) in advance to arrange authorization
  • Provide the name and phone number of your designated proxy
  • Forward the QR code link from your winner text message to your proxy
  • Your proxy MUST bring valid government-issued photo ID
  • Your proxy MUST show the QR code on their phone at check-in
  • Your proxy may be asked for the last 4 digits of your phone number for verification
  • You must still respond to winner notifications within the required timeframes

Important: The winner (registered phone number holder) is responsible for ensuring their proxy arrives within the 30-minute window. Late proxy arrivals will be treated the same as winner no-shows.

5What to Bring for Physical Prize Pickup

✓ Voucher/Certificate winners don't need any of this - just provide your mailing address online!

Required items for claiming PHYSICAL prizes at the venue:

  • Valid Government-Issued Photo ID
    Examples: Driver's license, state ID, passport, military ID
  • QR Code on Your Phone (REQUIRED)
    You will receive a text message with a link to your QR code. Click the link and show the QR code on your phone screen at check-in.
  • Confirmation Code (Backup)
    From your winner notification text message - staff can use this if QR code scanning fails

📱 How to Access Your QR Code:

  1. After you respond "yes" to the winner notification, you'll receive another text
  2. That text will contain a link - click it to open your QR code page
  3. Save the link or keep the text message accessible
  4. At check-in, show your phone screen with the QR code to staff for scanning
  5. The QR code will be automatically scanned and you'll be checked in

💡 Recommended to Bring:

  • Vehicle or means of transportation if prize is large (trees, large items)
  • Assistance/help if you need to carry heavy items
  • Phone charger or fully charged phone (QR code must be displayed on phone screen)
  • Contact phone number for event staff: (508) 479-2350

⚠️ Important Notes:

  • Prizes will NOT be released without presenting your QR code and valid photo ID
  • The QR code MUST be displayed on your phone screen for staff to scan
  • Screenshots of QR codes are acceptable if they display clearly
  • If you cannot access your QR code, staff can manually verify using your confirmation code and ID
  • No exceptions can be made for security and verification purposes

6Forfeited Prizes & Alternate Winners

What happens if a winner doesn't claim their prize within the 30-minute window:

🔄 Prize Redistribution Process:

  • If winner doesn't respond within 15 minutes, additional contact attempts will be made
  • If winner doesn't arrive within 30 minutes of established contact, the prize is forfeited
  • Forfeited prizes are immediately redrawn and awarded to alternate winners
  • Alternate winners will be notified immediately via the same text message system
  • This process continues until the prize is claimed or the event ends

⚠️ Eligibility Consequences: Repeated inability to claim prizes may result in exclusion from future raffle events. We understand emergencies happen, but multiple no-shows may affect your ability to participate in future Festival of Giving Trees events.

Fair Play: This policy ensures that all prizes are awarded fairly and that prizes go to participants who are present and ready to claim them on drawing day.

7Prize Restrictions & Terms

All prizes are subject to the following restrictions:

  • No Cash Exchange: Prizes cannot be exchanged for cash value
  • No Transfers: Once claimed, prizes cannot be transferred to another person
  • Registered Winner Only: Prize must be claimed by the registered phone number holder (or authorized proxy with proper documentation)
  • No Refunds: No refunds, exchanges, or substitutions will be offered
  • No Exchanges: Prizes cannot be exchanged for different prizes
  • As-Is Condition: All prizes are awarded in "as-is" condition

Prizes are donated items and services generously provided by local businesses and supporters. We cannot modify prize terms or substitute prizes at winner's request.

8Facility Limitations

The La Salle Reception Center is rented only for the duration of the event on drawing day. We do not have access to the building after the event concludes.

⚠️ Critical: Due to building rental constraints, we cannot store prizes after the event ends. We cannot arrange next-day pickup. We cannot hold prizes at another location. All prizes must be claimed before we vacate the premises at the end of the event.

This is why the 30-minute pickup window and response requirements are strictly enforced. We have no ability to accommodate late pickups due to venue constraints.

9Winner Responsibilities

As a raffle participant and potential winner, you agree to:

  • Provide accurate and legible contact information on all raffle entries
  • Provide a mobile phone number capable of receiving text messages
  • Keep your phone accessible, charged, and with service during the drawing event
  • Turn off Do Not Disturb mode during drawing hours
  • Be prepared to travel to the event location on the drawing date
  • Respond promptly to winner notifications (within 15 minutes)
  • Arrive at the Check-In Desk within 30 minutes of responding
  • Bring valid government-issued photo ID for verification
  • Bring your phone with the QR code displayed (click link from text message)
  • Have your confirmation code available as backup
  • Ensure your phone is charged or bring a charger
  • Arrange transportation appropriate for your prize (if large item)
  • Comply with all terms and conditions outlined on this page

By entering the raffle, you acknowledge that you understand and can meet these responsibilities.

10Special Circumstances & Exceptions

📝 Certificate & Voucher Prizes - Mailed for Your Convenience:

Winners of certificate or voucher prizes do NOT need to visit the venue at all!Simply provide your mailing address online through our "Claim Your Prize" portal, and we'll mail your prize to you.

Benefits of mailing vouchers:

  • No need to travel to the venue on drawing day
  • No 30-minute pickup deadline stress
  • Reduces crowding at the venue for physical prize winners
  • Convenient delivery right to your mailbox
  • Take your time providing your address - no rush!

The 30-minute pickup requirement and venue visit rules apply ONLY to physical prizes (trees, gift baskets, physical raffle items, etc.) that must be collected in person.

Emergency Situations:

If you have a legitimate emergency or extenuating circumstance that prevents you from picking up your prize within 30 minutes, please contact event staff immediately.

🆘 Valid Emergency Examples:

  • Medical emergency requiring immediate attention
  • Vehicle breakdown or accident en route to venue
  • Severe weather or road closures preventing travel
  • Family emergency requiring immediate response

📞 How to Report an Emergency:

  • If unable to call, reply to the winner notification text with "EMERGENCY" and your situation
  • Provide estimated time of arrival if possible
  • Be prepared to provide documentation if requested

Organizer Discretion: All emergency situations will be evaluated on a case-by-case basis at the sole discretion of event organizers. We will make reasonable accommodations when possible, but facility constraints may limit our options. Documentation may be required for emergency claims.

Note: "I forgot," "I'm busy," or "I'm too far away" are not considered valid emergencies. Please plan accordingly when entering the raffle.
